Overview

Advanced Technologies & Laboratories International, Inc. (ATL) is hiring for a Processing Archivist for the National Institute for Occupational Safety and Health.

 

The WTC Health Program is seeking the expertise of an Analyst II to serve as a processing archivist for a high-volume of paper and electronic records held by the WTC Health Program. The Analyst shall digitize paper and photographic materials from the WTC Health Program’s physical collections by reviewing, sorting, scanning, and shredding the contents of approximately 540 boxes (15x12x10, containing Personally Identifiable Information, (PII)). The Analyst II is required read each document to correctly determine the document type and apply the relevant scanning parameters.

The Analyst II shall also provide specialized support for records management work in the WTC Health Program to improve the organization and tracking of archived materials. The Analyst II shall help construct metadata and indexing information that will be used to develop a robust catalog of digitized materials and upload such materials into access repositories according to the parameters of federal records control schedules. The Analyst II shall conduct quality control of digitized materials following secure data capture and maintenance requirements, in accordance with data security guidelines and regulations.

Essential Functions and Job Responsibilities

SCOPE OF WORK

  • Review, sort, scan, upload, and shred the contents of approximately 530 Boxes shipped from Troy NY (Rensselaer Data Center) to Taft Laboratory (Cincinnati OH).
  • Prepare paper documents for scanning by removing staples and other bindings, sorting and categorizing documents, and operating scanning equipment to specific parameters.
  • Review digitized material to ensure they meet quality standards. Perform image enhancement tasks and save scanned documents in designated digital storage systems.
  • Perform quality assurance work to determine whether records were appropriately processed and saved in various systems of record according to specified digitization parameters.
  • Interpret and apply a records control schedule for the preservation, maintenance, and retrieval of both temporary and permanent record types.
  • Plan, schedule, and prioritize records activities by participating in the development of standard operating procedures and implementation strategy related to records management.
  • Prepare special and recurring reports related to the records program, including spreadsheet development and management related to the division records program.
  • Help design and implement record systems for efficient storage, access, and disposal of records using the parameters of a records control schedule.
  • Facilitate the development of filing systems in both the physical space and electronic systems. Apply proper naming conventions and metadata tagging for easy retrieval and indexing.
  • Contribute to the development of workflows for new and existing digitization projects by conducting research and carrying out specialized support activities.
  • Provide periodic training to division staff related to file storage, naming conventions, and archive procedures.

Minimum Requirements

SKILLS

  • Good communication and interpersonal skills combined with the ability to work closely with a diverse group of people to align operational processes and procedures.
  • Excellent research and organizational skills with an analytical mind with an eye for detail.
  • Ability to perform repetitive scanning tasks for a high volume of paper documents with a focus on accuracy and quality.
  • Commitment to handling sensitive information with discretion and integrity.
  • Ability to operate scanning equipment, digital archiving software, and image enhancement tools.
  • Ability to anticipate, adapt, and respond to changing demands and priorities related to document and records management work
  • Ability to work creatively and effectively, both independently with minimal oversight and in collaborative teams.

 

Basic Qualifications

  • Bachelor’s degree in a relevant field (e.g., Information Management, Library Science, Business Administration, Records Management, Archival Studies, Information Technology, or Health Information Management) is preferred but not required.
  • 7+ years of relevant work experience in records management, archival processing, or related fields may substitute for formal education.
  • Preferred training or coursework in document scanning, digital archiving software, or records management best practices.
