Overview

Planned Systems International (PSI), a Government Contractor, is seeking a Project Coordinator to support the Department of Veterans Affairs (VA) Independent Enterprise Testing and Support Services (IETSS) contract. The IETSS program delivers Independent Verification and Validation (IV&V) services in support of the Electronic Health Record Modernization Integration Office (EHRM-IO) and other critical VA Office of Information and Technology (OIT) modernization initiatives. This effort supports software delivery lifecycle activities, enterprise testing services, and quality assurance functions that help ensure successful delivery of technology solutions for Veterans. As part of our continued focus on operational excellence and modernization, the Project Coordinator will play a key role in supporting and enhancing Testing Logistics Services (TLS) activities across the program. 

Essential Functions and Job Responsibilities

  • Coordinate project activities across multiple workstreams to ensure alignment with program objectives, schedules, milestones, and deliverables.  
  • Support project managers and program leadership in monitoring project plans, risks, issues, dependencies, action items, and performance metrics.  
  • Schedule, coordinate, and support project meetings, governance reviews, working sessions, leadership briefings, and executive-level discussions.  
  • Prepare meeting agendas, minutes, action item trackers, presentations, executive summaries, and other project documentation.  
  • Track project deliverables and follow up on commitments to ensure timely completion of assigned tasks and activities.  
  • Collect, validate, and consolidate project data from multiple sources to support reporting and decision-making.  
  • Develop and maintain dashboards, status reports, metrics, and tracking tools to monitor project health and operational performance.  
  • Generate recurring and ad hoc reports on project status, resource utilization, workforce metrics, and program accomplishments.  
  • Support executive communications by preparing briefing materials, status updates, and reports for senior leadership.  
  • Assist with business process improvement, workflow optimization, and organizational modernization initiatives.  
  • Document and maintain project artifacts, standard operating procedures (SOPs), operational processes, and project records.  
  • Coordinate activities with Testing Logistics Services, testing intake, test environment and test data teams, independent testing services, quality management, and other support organizations.  

Minimum Requirements

  • Minimum 2 years of professional experience 
  • Currently enrolled in a degree program in Project Management, Information Technology, Business, Healthcare Management, or related discipline.  
    • Additional relevant experience may be substituted for formal education. 
  • Coursework or knowledge in general project management frameworks and best practices 
  • Strong analytical and organizational skills  
  • Excellent written and verbal communication abilities  
  • Ability to work collaboratively with project managers and team leaders  
  • Prior experience or coursework in government contracting is a plus but not required 
  • Working knowledge of:   
  • Microsoft Office 365 
  • Microsoft Excel (data analysis, reporting, dashboards) 
  • Microsoft PowerPoint 
  • Microsoft Word 
  • Microsoft Outlook 
  • Microsoft SharePoint 
  • Microsoft Teams 
  • U.S. Citizenship is required.  
  • Selected candidates must be able to successfully pass a thorough Government background screening process requiring the completion of detailed forms and fingerprinting 

Desired Qualifications

  • Experience supporting federal government, healthcare IT, or VA programs and initiatives.  
  • Knowledge of project management principles, methodologies, and best practices, including Agile, Waterfall, and Hybrid delivery approaches.  
  • Familiarity with software development lifecycle (SDLC), testing, quality assurance, or systems implementation activities.  
  • Experience developing and maintaining project schedules, action item trackers, dashboards, and performance reports.   
  • Ability to analyze data, identify trends, and develop meaningful reports and recommendations.  
  • Strong organizational skills with the ability to manage multiple priorities and deadlines simultaneously.  
  • Demonstrated ability to coordinate activities across cross-functional and geographically dispersed teams.  
  • Experience preparing executive briefings, leadership presentations, meeting materials, and status reports.  
  • Self-motivated, detail-oriented, and capable of working independently with minimal supervision.  
  • PMP, CAPM, PMI-ACP, Scrum Master, or other project management-related certifications are a plus.
